Topic: Zoom Support
Sandy Vance (May 11 2020 at 16:51):
We are pleased to announce that @Dave Hamill will be available to offer support for zoom so if you have any questions ask here!
David Hay (May 11 2020 at 18:11):
Just confirming that the individual accounts for the tracks have the 40 minute limitation...
Mark Kramer (May 11 2020 at 18:29):
I hope the limit isn't 40 minutes -- we were planning on keeping it on all day. @Sandra Vance ?
Dave Hamill (May 11 2020 at 18:29):
The Zoom accounts are licensed accounts, meaning the a session can be up to 24 hours
Mark Kramer (May 11 2020 at 21:03):
:+1:
Sandy Vance (May 12 2020 at 14:43):
@Mark Kramer We have set up Pro Accounts which will not be limited to 40 minutes. They will run from 9am to 7pm Thursday and Friday.
Lloyd McKenzie (May 12 2020 at 18:00):
Can they run longer if we want them to? What about on Wednesday?
Michael Donnelly (May 13 2020 at 00:59):
@Sandra Vance @Dave Hamill Just Thursday and Friday sounds like a problem. Will these lines work:
- Wednesday before the start time?
- Wednesday after the start time?
- After seven p.m. and before nine a.m.?
Sandy Vance (May 13 2020 at 01:39):
@Michael Donnelly The zoom accounts are set up by track with the track leads hosting. You can meet with your track whenever you like. We just ask that you post your plan on your track page on confluence so visitors will know when things will be happening. :-)
Michael Donnelly (May 13 2020 at 01:39):
Excellent! And will do :)
Kevin Power (May 13 2020 at 13:50):
@Dave Hamill I am one of the track leads for Genomics and while I see the room listed on the Confluence document, we haven't received a password?
Dave Hamill (May 13 2020 at 13:52):
@Kevin Power I just forwarded you an email from Sandy that contains the Zoom information for Track Leads
Mary Ann Boyle (May 13 2020 at 14:16):
@Lloyd McKenzie , yes. They will be open for 24 each day (ET) so the track leads can open them at will and keep them open for as long as needed.
Lloyd McKenzie (May 13 2020 at 16:53):
Will the kick-off information be coming out soon?
Dave Hamill (May 13 2020 at 17:14):
@Lloyd McKenzie @Sandra Vance Lloyd, what specifically do you mean by 'kick off information'. Is it regarding Zoom?
Lloyd McKenzie (May 13 2020 at 17:24):
Yes. My understanding was that we were supposed to get a notification of the Webinar link "this morning", but it's getting past morning most places and I haven't seen an email yet :)
Isaac Vetter (May 13 2020 at 17:25):
@Dave Hamill - Yes. Should there be a "main connectathon Zoom" included on this page? The "main connectathon Zoom" is where this afternoon's kickoff is occurring, as well as the other sessions listed here.
Lynn Laakso (May 13 2020 at 17:27):
Only the paid registrants would receive the GoToWebinar link for the kickoff. There was an email sent out to the registrants
Jenni Syed (May 13 2020 at 17:28):
It came from "HL7 Webinars"
Jenni Syed (May 13 2020 at 17:28):
It looks like it was sent around 10:40 AM Central
Lloyd McKenzie (May 13 2020 at 17:31):
I'm registered and paid and I haven't seen it - not in spam or trash either
John Moehrke (May 13 2020 at 17:36):
seems a few of the SANER crew also didn't get the email
Lynn Laakso (May 13 2020 at 17:39):
@Sadhana Alangar
Dave Hamill (May 13 2020 at 17:40):
@Lloyd McKenzie I thought you were referring to Sandy's email that had the Zoom password so that Track Leaders could run their Track's Zoom sessions...I just forwarded that to you.
Dave Hamill (May 13 2020 at 17:41):
However, you're all referencing the email with the GoToWebinar credentials to join the 'general session' at 4pm today. I'll reach out to Staffers and Sandy and indicate that Lloyd nor John have received theirs to see if that can uncover any problem with it.
John Moehrke (May 13 2020 at 17:43):
I got mine. but there were others on the saner connectathon track that indicated they did not get theirs
Dave Hamill (May 13 2020 at 17:44):
@John Moehrke can you give me a few names offhand...it's always easier to debug an issue if we have some specific examples
Sandy Vance (May 13 2020 at 17:45):

Dave - I have received three emails from people who didn't get the email I sent at 6pm yesterday that had the password info in it. I have resent it exposing emails because I am concerned it had something to do with using "BCC" to protect emails.
Regarding the GO TO Webinar info for Kick Off - that email would have been generated by @Sadhana Alangar and the email would come from Go To Webinar...
Dave Hamill (May 13 2020 at 17:48):
Thanks for resending the Zoom email.
Sadhana Alangar (May 13 2020 at 17:48):
Lloyd, you should have received the webinar invite
Dave Hamill (May 13 2020 at 17:48):
You are correct with the GTW email...it's generated via GTW
Lloyd McKenzie (May 13 2020 at 17:52):
Nothing from gotowebinar. I did get Sandra's email with the Zoom passwords yesterday (and today :>)
John Moehrke (May 13 2020 at 17:52):
subject was "Virtual FHIR Connectathon Confirmation"
Dave Hamill (May 13 2020 at 17:54):
@John Moehrke can you forward that email to webmaster@HL7.org so that @David Johnson can see exactly what it looks like when sent
Lloyd McKenzie (May 13 2020 at 17:57):
Sadhana tried to resend mine specifically, but nothing came through
John Moehrke (May 13 2020 at 17:59):
just got another copy
Lloyd McKenzie (May 13 2020 at 17:59):
Still nada :(
Dave Hamill (May 13 2020 at 18:03):
Sadhana just informed Staff that she resent the GTW confirmation email to all 611 registrants. @John Moehrke received that email. @Lloyd McKenzie did not. To me, that indicates Lloyd's email server blocked it. Which means the same could've happened to many other registrants. @Lloyd McKenzie is there a way to have your tech people see if the GTW email was blocked or quarantined?
David Johnson (May 13 2020 at 18:03):
Please note that the email would have come from customercare@gotowebinar.com
David Johnson (May 13 2020 at 18:04):
Full from is "HL7 Webinars <customercare@gotowebinar.com>"
Cynthia Barton (May 13 2020 at 18:06):
i just received an email with the GoTo"Webinar" link, however I am also wondering about Zoom? Is this a link that will be provided to us later today for the whole conference? I understand the task leaders are going to post this link somewhere in the 'confluence page.

The zoom links are posted here: https://confluence.hl7.org/display/FHIR/2020-05+Zoom+Info+for+Each+Track
Isaac Vetter (May 13 2020 at 18:12):
At Epic, at least 2 registered attendee has received the gotomeeting info sent this morning and at least 6 other registered attendees have not (we're all using the same mail server/spam rules). Maybe the delivery time is staggered? There's only a few hours until the kickoff call, though.
Michael Donnelly (May 13 2020 at 18:13):
I got it about 15 minutes ago.
Isaac Vetter (May 13 2020 at 19:03):
Just got it! :got_it:
Dave Hamill (May 13 2020 at 19:05):
@Cynthia Barton are you a track lead that needs credentials to host a Zoom meetinng or a participant that needs to see the URLs to join a Zoom meeting
Lloyd McKenzie (May 13 2020 at 19:15):
I'm using GMail as a server and I've received emails from HL7 gotowebinars before. It's certainly possible the emails are going out in batches - hopefully those finish soon. I still haven't received an email from the webinar, but I did receive an email from Sadhana saying to reach out to her if I didn't receive it - so hopefully everyone at least gets that one.
John Moehrke (May 13 2020 at 19:47):
I hope we all get access to the recording... right?
Dave Hamill (May 13 2020 at 19:52):
@John Moehrke What recordings are you talking about? The GTW 'general session'? Zoom track sessions? Other?
John Moehrke (May 13 2020 at 19:53):
the kickoff meeting that many have not received the GTM details for (and some of us have day-job conflicts).
Dave Hamill (May 13 2020 at 19:53):
That's what I thought you were referencing ...I just didn't want to assume.
Dave Hamill (May 13 2020 at 19:54):
I'm on the GTW practice session with Sandy and others now and will confirm
Dave Hamill (May 13 2020 at 19:57):
Confirmed! They will record the kick off meeting and will let people know how to access it (as to 'how' that will be done -- via email, link on Confluence, link elsewhere...I'm not exactly sure)
Cynthia Barton (May 13 2020 at 19:58):
Not a track lead. Participant. needs to see the URLs to join a Zoom meeting
Lloyd McKenzie (May 13 2020 at 20:01):
I just got the link from gotowebinar
John Moehrke (May 13 2020 at 20:02):
must have gotten caught at the Canadian boarder...
Jenni Syed (May 13 2020 at 20:08):
@Cynthia Barton they're linked off the main connectathon page: https://confluence.hl7.org/display/FHIR/2020-05+Zoom+Info+for+Each+Track
