Topic: Connectathon 25 Breakout Room Schedule
Viet Nguyen (Sep 09 2020 at 15:03):
@Sandra Vance - is there a link for the breakout rooms? I searched this stream and confluence, but I couldn't find anything. I do see the links for the rooms in Whova.
Sandy Vance (Sep 09 2020 at 15:19):
Here is the link for Connectathon Break out Room Sign up. Viet - please note i have alrerady scheduled the Da Vinci Track highlights.

Chris Moesel (Sep 09 2020 at 16:27):
@Sandra Vance -- IIRC, in Connectathon 24, track leads could create their own breakout rooms (within the Zoom meeting they host). Does that not work in Connectathon 25? Do we need to pre-register all the breakout rooms above? And if so, how will people be assigned into them?
Mary Ann Boyle (Sep 09 2020 at 16:29):
hello Chris. In the trail above Sandy mentioned this link https://confluence.hl7.org/display/FHIR/Break-Outs you can schedule your sessions from there.
Chris Moesel (Sep 09 2020 at 16:32):
I was just asking if that is the only way to do it. In the past Connectathon, pre-registration of breakout rooms was not required. I'm just wondering how it all works...
Mary Ann Boyle (Sep 09 2020 at 16:34):
that is the only way to do it for this connectathon. She changed how it was managed this time around. I believe it was partially because that information in the breakout rooms could not be recorded and shared later.
Chris Moesel (Sep 09 2020 at 16:34):
OK. Got it. Thank you!
Viet Nguyen (Sep 09 2020 at 16:45):
@Sandra Vance @Mary Ann Boyle Could we get more breakout rooms set up? CDC has booked 14 of the available 20 hours of the schedule for one of the rooms. I added a column for Breakout Room number, since it's not indicated on the schedule.
Chris Moesel (Sep 09 2020 at 16:48):
Hold on. There's a limit (of two at a time) on breakout rooms? If so, that is a bit of an issue, because I need one at 10am, noon, 2pm, and 4pm each day!
Bryn Evans (Sep 09 2020 at 16:50):
Hey @Chris Moesel How many attendees are you expecting? I should be able to set you up with a secondary Zoom account for the purpose.
Viet Nguyen (Sep 09 2020 at 16:54):
I think the instructions should be put at the top of the page. It's not clear. The AMA scheduled blocks of time. Is HL7 creating separate breakout/zoom sessions for each request? or are we sharing 2 or more zoom rooms like we would physical rooms at a connectathon? I removed the column I added for room numbers to avoid confusion and awaiting the answer to the questions above. Thanks,
Chris Moesel (Sep 09 2020 at 16:55):
Thanks, @Bryn Evans. It's hard to know for sure... We didn't have any sort of pre-registration or anything and the breakout sessions might appeal to folks who are participating in other tracks too. What happens if I guess wrong?
Bryn Evans (Sep 09 2020 at 16:56):
@Chris Moesel thinking about it now, nothing. Let me get confirmation from management on how we're managing this and I'll get back to you.
Mary Ann Boyle (Sep 09 2020 at 16:57):
@Viet Nguyen Sandy wanted it to be shared like the F2F meetings. I think we need Sandy to let us know if Hl7 should open up more space, or just use the 2. @Sandra Vance Can you please let Bryn and I know how you wish for us to handle this request
Viet Nguyen (Sep 09 2020 at 16:59):
@Mary Ann Boyle - That was my understanding as well. We certainly need more rooms if we allow the CDC and AMA to use large blocks.
Chris Moesel (Sep 09 2020 at 17:00):
Thanks. We had unlimited breakouts in the last Connectathon and planned assuming that was still the case. In short, we have developed some FHIR Shorthand educational sessions we want to provide to track participants. We have 4 different topics, offering each on Thursday and each on Friday.
Chris Moesel (Sep 09 2020 at 17:00):
But not all participants will want to join each one, so we wanted to keep the main track room for typical ad-hoc track stuff.
Mary Ann Boyle (Sep 09 2020 at 17:02):
@Chris Moesel I completely understand. @Sandra Vance is managing this event so we just need to make sure she is on board, but I think we can make this happen as long as Sandy is good with it
Viet Nguyen (Sep 09 2020 at 17:03):
@Chris Moesel - Sandy explained that there's a distinction between a breakout that launches from an existing zoom meeting - the track lead can do that but needs to manage it. That's akin to a sidebar conversation at a physical connectathon table. The breakout rooms are more like the physical breakout rooms at the in-person connectathons, where the track may want to discuss a specific topic separate from testing and may be of interest to participants in other tracks. @Sandra Vance @Mary Ann Boyle can clarify if I misstated the understanding.
Jenni Syed (Sep 09 2020 at 17:31):
Is there a difference between breakouts and what shows up as "subsessions" in Whova?
Jenni Syed (Sep 09 2020 at 17:31):
EG: I would love to officially have times on my agenda for the kickoffs and wrap ups (like daVinci)... but not sure how to do that or if that's something all track leads can do
Jenni Syed (Sep 09 2020 at 17:32):
(and I don't see how to edit my track either... in app or on website)
Mary Ann Boyle (Sep 09 2020 at 17:32):
@Bryn Evans can help you @Jenni Syed to update your track session
Mary Ann Boyle (Sep 09 2020 at 17:35):
@Sandra Vance can help you get the times for the breakouts @Jenni Syed
Jenni Syed (Sep 09 2020 at 17:46):
I don't really want breakouts... I just want more detail to be in my session for things like kickof and wrap up. Wasn't sure if subsession == breakout?
David Hay (Sep 09 2020 at 19:06):
@Chris Moesel are you planning anything before the track start @9am ET tomorrow?
Chris Moesel (Sep 09 2020 at 19:16):
@David Hay -- nope. Mark posted the track schedule in #shorthand here. By tomorrow the breakout educational sessions will be listed in the Whova app.
