hey all - we have a problem with the Baltimore Connectathon: not enough space. The origin of the problem is that the reservations were made 2 years ago, and not enough space was reserved. We have a single room with space for ~200 people (depends how hard we cram it). From about 2pm on Saturday, the room can be expanded to fit ~350 people... but not until then. The hotel can make another room available to us 13 floors away that fits 150 people until 2pm

we've tried to make a better arrangement, but it hasn't been possible at this point. So that leaves us with 3 options:
- split the connectathon at the start, and then combine after 2pm.
- just limit the connectathon to 200 people
- start the connectathon at 2pm ...

A lot of people step out for the training on Sat. am. Can we just hold the training in the second room? And then have the tracks spread out in the afternoon?

The cds-hooks track could probably go into the other room and fix much of the problem. But I'm not a fan of splitting up the connectathon because of all the great side conversations that go on. If we can't start until 2pm can it run later?

Perhaps the 'least worst' is to start with a split (perhaps CDS hooks & training in other rooms) and then join up as soon as possible in the afternoon. We'd want the introduction & welcome to be shared by all though - standing room only!

Standing room only probably won't fly due to fire regs. We could broadcast it over a shared webex. Or we can run two of them in parallel

Can you do two rooms for all of Saturday, and one room for all of Sunday?
Ideally in this case you'd have a camera in one room linked to the screen in the other room so that the intro, etc. could be broadcast to both locations.

Limiting participation is the worse option. Starting at 2pm will significantly impact productivity. Two rooms is the best option of those given. Trying to put related tracks together makes sense.

Suggest 2 rooms until afternoon or for all of Saturday then merge. Split with clinical tracks in main room, infrastructure and administrative tracks upstairs unless the track is specifically coordinating data exchanges with a clinical track (as inter-track traffic often needs to occur on the same network).
